Standard Procurement Process
Consolidation and Approval of Requirements
Departments submit lists of requirements specifying item names, specifications, and quantities. After being signed by department heads, these are consolidated by the administrative department into a procurement plan for approval by the supervising executive; high-value purchases require review and approval by a management committee.

Supplier Selection and Price Comparison
Prioritize vendors with good reputations and fast delivery times. For routine purchases, compare at least three suppliers, evaluating them based on quality, price, and service; for bulk items, consider signing annual supply agreements to secure long-term discounts.

Execution, Inspection, and Warehousing
Proceed with the purchase after approval. Upon delivery, the warehouse verifies the quantity, quality, and specifications against the order list; once confirmed, the items are entered into inventory, and inspection records are retained.

Settlement and Archiving
The finance department processes payments based on inspection records and valid invoices, while simultaneously archiving all relevant documents-such as procurement requests, quotations, and contracts-for record-keeping.
